7. Acceptance of Quote

Once a quote is accepted, the client agrees to the service scope, pricing, schedule, payment terms, and these Terms and Conditions.
If the client requests additional work outside the approved scope, extra charges may apply.
8. Service Scope

Only the tasks listed in the accepted quote or written scope are included.

9. Client Responsibilities
The client must provide reasonable access, cooperation, and information so we can deliver the service safely and properly.
You agree to:
- Provide accurate site details
- Confirm the cleaning address
- Provide access at the agreed time
- Arrange keys, swipe cards, alarm codes, or authorised entry
- Inform us of security procedures
- Remove confidential, fragile, valuable, or sensitive items where possible
- Advise us of hazardous materials or safety risks
- Provide access to water, electricity, toilets, and waste disposal where required
- Keep the site reasonably safe for our cleaners
- Notify us of special cleaning requirements before work begins
- Ensure authorised staff are available for access if needed
- Secure pets, restricted areas, or private areas where relevant
If our team cannot access the site at the agreed time, a call-out fee, waiting time fee, cancellation fee, or rescheduling fee may apply.
10. Access, Keys, Security and Alarm Codes
Many commercial cleaning services are performed before business hours, after hours, or on weekends.
If the client provides keys, access cards, alarm codes, or entry instructions, WDC Facility Services will take reasonable care to protect them.
The client must provide clear instructions for:
- Entry points
- Lock-up procedures
- Alarm activation and deactivation
- Restricted areas
- Emergency contacts
- Parking or loading access
- Security sign-in requirements
WDC Facility Services is not responsible for delays, missed services, alarm call-out fees, or security issues caused by incorrect access instructions, changed codes, blocked access, or failure to provide access.
11. Cleaning Schedule
Cleaning may be scheduled daily, weekly, fortnightly, monthly, one-off, after-hours, early morning, evening, weekend, or as otherwise agreed.
We aim to attend at the agreed time. However, reasonable delays may occur due to traffic, weather, staff illness, emergency work, building access issues, or events outside our control.
If a cleaner is unavailable, WDC Facility Services may arrange a replacement cleaner, supervisor, or alternative service time where reasonably possible.
12. After-Hours Cleaning
After-hours cleaning is available for commercial sites where cleaning during business hours may disrupt staff, customers, patients, students, members, visitors, or operations.
The client must ensure that after-hours access is safe and properly authorised.
If security attendance, building management approval, lift access, parking access, or loading dock access is required, the client must arrange this before the service time.
13. Cleaning Products, Equipment and Consumables
WDC Facility Services may provide cleaning products, tools, equipment, and machinery unless the quote states otherwise.
These may include commercial cleaning chemicals, microfibre cloths, mops, vacuum cleaners, floor equipment, window cleaning tools, PPE, and other cleaning equipment suitable for the service.
Consumables may not be included unless stated in the quote. Consumables may include toilet paper, hand towels, bin liners, hand soap, sanitiser, air fresheners, hygiene products, and other restocking items.
Eco-friendly cleaning products may be used where suitable and available. Some specialist cleaning tasks may require stronger or site-specific products.
14. Site-Specific Cleaning Requirements
Different commercial sites require different cleaning methods. WDC Facility Services may adjust cleaning tasks based on your industry, site condition, risk level, and hygiene requirements.
Examples include:
- Offices may require desk, kitchen, bathroom, bin, floor, and high-touch surface cleaning.
- Medical centres may require hygiene-focused cleaning of waiting rooms, consultation rooms, bathrooms, and touchpoints.
- Gyms may require cleaning of sweat-prone areas, change rooms, equipment zones, mirrors, floors, and high-touch surfaces.
- Schools and childcare centres may require child-conscious cleaning methods and safe product use.
- Warehouses may require dust control, floor care, traffic zone cleaning, and site-safe cleaning routines.
- Retail spaces may require front-facing presentation, glass cleaning, floors, counters, and customer areas.
WDC Facility Services does not provide regulated clinical, surgical, hazardous, or biohazard remediation services unless specifically agreed in writing and confirmed as part of the service scope.
15. Health, Safety and Site Risks
WDC Facility Services takes workplace safety seriously. Our cleaners are expected to follow reasonable safety procedures, use appropriate PPE, and follow site instructions.
The client must tell us about any known hazards before work begins, including:
- Wet areas
- Damaged floors
- Electrical risks
- Asbestos risks
- Chemical exposure
- Sharps
- Bodily fluids
- Pest contamination
- Broken glass
- Unsafe ladders or access points
- Restricted areas
- Aggressive persons on-site
- Security concerns
- Heavy machinery movement
- Slippery surfaces
- Confined spaces
We may refuse, pause, reschedule, or stop work if we believe the site is unsafe or if the work falls outside the agreed scope.
16. Hazardous Materials and Specialist Cleaning
Standard commercial cleaning does not include hazardous material handling unless confirmed in writing.
The following services require special assessment and may not be included in standard cleaning:
- Asbestos cleaning
- Biohazard cleaning
- Blood or bodily fluid cleaning
- Sharps removal
- Chemical spill cleaning
- Mould remediation
- Fire or smoke damage cleaning

If these conditions are found during the service, our team may stop work and notify the client. Additional fees may apply if specialist cleaning, PPE, disposal, or risk management is required.
17. Pricing and Payment
All prices are in Australian dollars.
The final price will be based on the accepted quote or agreed service scope. Pricing may depend on service type, cleaning hours, site size, site condition, frequency, access, specialist requirements, and materials required.
Unless stated otherwise in writing:
- Payment is due according to the invoice terms.
- Regular commercial cleaning may be invoiced weekly, fortnightly, monthly, or as agreed.
- One-off cleaning may require payment before or on completion.
- Deposits may be required for large, one-off, high-risk, or specialist jobs.
- Additional work outside the agreed scope will be charged separately.
- The quote will state whether GST applies.
If payment is late, WDC Facility Services may suspend services, charge reasonable recovery costs, require upfront payment for future services, or cancel the service agreement.
18. Price Changes
For ongoing cleaning agreements, prices may be reviewed if:
- The cleaning scope changes
- The site size changes
- Cleaning frequency changes
- Labour costs increase
- Material or supply costs increase
- Access requirements change
- Public holiday, weekend, or after-hours work is required
- The site condition becomes different from the original quote
- Additional compliance, reporting, or supervision is required
We will provide notice of price changes where reasonably possible.
19. Cancellations and Rescheduling
The client must provide reasonable notice if a service needs to be cancelled or rescheduled.
Cancellation or rescheduling fees may apply where:
- The client cancels at short notice
- Our cleaners are already on the way
- Our cleaners arrive but cannot access the site
- The site is not ready for cleaning
- Required access, keys, codes, or approvals are not available
- Work is cancelled after staff, equipment, or materials have been allocated
For regular cleaning contracts, cancellation terms may be stated in the accepted quote or service agreement.
20. Lock-Outs and Waiting Time
A lock-out occurs when our team attends the site but cannot begin work because access is unavailable.
This may happen if:
- Keys are not available
- Alarm codes are incorrect
- Doors are locked
- Security refuses entry
- Building management has not approved access
- No authorised person is present
- Parking or loading access is blocked
If a lock-out occurs, the client may be charged a call-out fee, waiting time fee, or full-service fee depending on the circumstances.
21. Variations and Extra Work
Any work requested outside the accepted scope is a variation.
Variations may include extra cleaning tasks, additional rooms, extra floors, additional bathrooms, specialist stain treatment, urgent work, emergency cleaning, extra consumables, or cleaning caused by unusual site conditions.
WDC Facility Services may provide a revised quote before completing extra work. If urgent extra work is approved verbally by the client or authorised site representative, it may be added to the invoice.
22. Quality Checks and Service Issues
WDC Facility Services aims to provide reliable, consistent, and professional commercial cleaning.
If the client believes a task has not been completed according to the agreed scope, the client must notify us as soon as possible and provide reasonable details, photos, or site information.
We must be given a reasonable opportunity to inspect the issue and, where appropriate, rectify the missed task.
Service complaints should be made within 24 hours of the service where possible. This allows us to review the issue accurately before the site condition changes due to normal use, staff activity, visitors, weather, spills, or third-party access.
23. Cleaning Results
Cleaning results depend on the condition, age, material, maintenance history, staining, wear, damage, and contamination level of the surface.
We cannot guarantee full removal of all stains, marks, odours, mineral deposits, mould staining, grease, paint, adhesive, rust, deep soil, permanent discolouration, or damage caused by previous cleaning methods.
Some surfaces may already be worn, scratched, stained, porous, chemically damaged, sun damaged, water damaged, or permanently marked before cleaning begins.
We will use reasonable care, suitable cleaning methods, and professional judgment when completing the service.
24. Damage, Breakage and Loss
The client must remove or secure fragile, valuable, confidential, sensitive, or easily damaged items before cleaning begins.
WDC Facility Services will take reasonable care while performing services. However, we are not responsible for pre-existing damage, poor installation, faulty fixtures, unstable furniture, loose fittings, worn surfaces, aged materials, weak grout, cracked glass, unsecured items, or damage caused by normal cleaning of already compromised surfaces.
Any claim for damage or loss must be reported as soon as possible with photos, details, and supporting information.
WDC Facility Services is not responsible for indirect loss, loss of profit, loss of business opportunity, interruption to business, or consequential loss, except where liability cannot be excluded by law.
25. Insurance
WDC Facility Services aims to operate as a professional and responsible commercial cleaning provider. Insurance details may be provided to commercial clients upon reasonable request where relevant to the service agreement.
The client is responsible for maintaining appropriate insurance for their own property, business operations, stock, equipment, contents, and premises.
26. Staff, Contractors and Non-Solicitation
WDC Facility Services may use employees, contractors, supervisors, or trained cleaning team members to deliver services.
The client must not directly employ, engage, contract, or solicit any WDC cleaner, contractor, supervisor, or staff member introduced through WDC Facility Services without written approval.
If a client directly engages a WDC team member without approval, WDC Facility Services may seek reasonable recruitment, training, replacement, and business loss costs.
27. Confidentiality
During commercial cleaning, our team may access offices, desks, reception areas, storage rooms, clinics, staff areas, or other business spaces.
WDC Facility Services expects its team to respect client confidentiality and site privacy.
The client remains responsible for securing confidential documents, personal information, financial records, medical records, keys, devices, valuables, cash, and restricted business materials before the service begins.
28. Photos, Case Studies and Marketing
WDC Facility Services may take before-and-after photos for quality control, training, reporting, or service records.
We will not intentionally publish identifiable client information, private documents, confidential materials, or restricted site details without permission.
If we wish to use a client name, logo, testimonial, case study, or identifiable site photo for marketing, we will request permission where required.
29. Website Enquiries and Communication
When you submit a website form, email us, call us, or request a quote, you agree that WDC Facility Services may contact you about your enquiry, quote, booking, service request, or related business communication.
You must provide accurate contact details. WDC Facility Services is not responsible for missed communication caused by incorrect phone numbers, email addresses, site addresses, or contact names.

WDC Facility Services may collect personal and business information required to respond to enquiries, prepare quotes, manage bookings, deliver services, issue invoices, and communicate with clients.

- Pre-existing damage
- Wear and tear

- Damage caused by unsafe site conditions
- Issues outside the agreed service scope
Where liability cannot be excluded by law, our liability will be limited to the remedies required under applicable law.
35. Force Majeure
WDC Facility Services is not responsible for delay or failure to perform services caused by events outside our reasonable control.
These events may include extreme weather, natural disasters, traffic incidents, illness, staff shortages, supply shortages, power failure, building access restrictions, government restrictions, strikes, emergencies, accidents, security lockdowns, or other events beyond our control.
If such an event occurs, we will try to reschedule or adjust the service where reasonably possible.
36. Termination of Ongoing Services
For ongoing commercial cleaning, either party may terminate the service agreement according to the notice period stated in the quote, contract, or written agreement.
If no notice period is stated, either party should provide reasonable written notice.
WDC Facility Services may suspend or terminate services immediately if:
- Payment is overdue
- The site is unsafe
- Staff are abused, threatened, or treated unfairly
- Access is repeatedly unavailable
- The client repeatedly cancels services
- The client requests unlawful or unsafe work
- The client breaches these Terms
- The relationship becomes commercially or operationally unreasonable
The client remains responsible for all unpaid invoices, completed work, approved extra work, and reasonable costs incurred before termination.
37. Governing Law
These Terms and Conditions are governed by the laws of Australia and the applicable laws of the state or territory where the service is provided.
The parties agree to deal with disputes in good faith before starting formal legal proceedings where reasonable.
